Administrative Assistant

Department: CMA Executive & Admin Office Support
Location: Ithaca, NY

Cayuga Medical Associates, PC, a growing multispecialty group practice in Ithaca, NY is recruiting for an Administrative Assistant. The purpose of this position is to provide strong administrative support to the senior leadership team, while managing the activities of the organization with a high level of efficiency, dependability and professionalism. This role requires a person with strong interpersonal and communication skills, extreme attention to detail and professional work ethic. This role reports to the Office Coordinator.

Essential Job Functions:

  • Provide administrative support for executives, including management of executives’ schedules, coordinating complex meetings and appointments.
  • Schedule complex meetings, assuring “flow of day” coordination of executives’ calendars.
  • Interact effectively with hospital senior staff, physicians, managers, other administrative assistants, patients, and outside contacts with professionalism and courtesy.
  • Sort complex data; prepare reports, documents, databases, and presentations with a high degree of attention to detail.
  • Author and proofread general correspondence and reports.
  • Maintain confidential physician contract database.
  • Provide back up for receptionist, locate executives as appropriate, and handle challenging situations as needed.
  • Maintain a pleasant and helpful demeanor, and present a professional appearance toward all internal and external customers at all times.
  • Other duties as assigned.


Knowledge, Skills and Abilities:

  • Exceptional skills in Microsoft Outlook
  • Continuous proficiency in all applications of Microsoft Office, including Word, Excel, and PowerPoint
  • Must have poise and demonstrate polish interacting with wide variety of clientele
  • Ability to design documents, reports, and presentations in professional format
  • Excellent organizational/time management skills with the ability to effectively manage multiple assignments and conflicting priorities simultaneously
  • Ability to work independently, take initiative, and accomplish tasks effectively
  • Positive attitude and work ethic
  • Maintain highest level of confidentiality to proprietary information
  • Identify and diplomatically resolve problems in a timely manner
  • Ability to anticipate the needs of executive level staff

Education and Experience:

  • High School Graduate; Associate’s degree preferred
  • At least three years’ experience supporting executive level staff
